Stop taking phone calls!
How many times a day are you interrupted by phone calls?
Are all of these calls urgent AND important? Or are most of them trivial & unimportant?
How about letting your calls go to voicemail & setting aside a time period at the end of the day to take & make calls?
This will make a massive difference to your productivity.
Put a polite answer-phone message clearly telling people that you only deal with calls between 4pm-5pm each day.
Let them know the details of someone on your team that can help them instead.
Obviously if it’s a genuine crisis then you’ll call them back outside of that time period… but most calls aren’t in this classification.
You’ll find something really interesting – that by the time you call people back they’ll most likely have found a solution to the thing they were going to ask you about.
So the call will be brief & they’ve been empowered to solve a problem on their own.
You’ll also find that the team member you’ve provided as an alternate contact is being utilised better, is helping your customers & building relationships with them.
So it’s a win-win all round.
